CRM Overview

Manage your lead pipeline — companies, contacts, notes, tasks, and events — in one place.

Veflow CRM tracks every company you are selling to, from first contact to signed contract. Open CRM in the sidebar to reach the lead pipeline; email, calendar, tasks, and the automation tools each have their own page:

The lead pipeline

The Profile page shows every company lead in your workspace in two views:

  • Table — columns for domain, name, employees, ARR, and stage. Search leads by domain or name, filter by stage, and reorder columns to taste.
  • Board — a kanban board with one column per stage. Drag a card into another column to move the lead forward.

Leads progress through five stages: New Lead, Contacted, Nurturing, Engaged, and Contract Sent. Stage changes appear live for everyone viewing the pipeline.

Add a company lead

  1. Click Add Company Lead.
  2. Enter the lead's website domain (for example, acme.com) in Company Domain URL.
  3. Click Add Lead.

The profile appears immediately, and enrichment runs in the background: Veflow researches the company and fills in the employee count, estimated ARR, and detected technology stack when it can find them.

Inside a company profile

Click any lead to open its workspace, organized into five tabs:

TabWhat you do there
CanvasA rich-text briefing about the lead. Generate an AI executive summary from the lead's profile data and synced emails, or edit it yourself. Edits sync in real time for every teammate viewing the page.
NotesAn archive of note cards. Each note has a title and rich-text content, and can be linked to a specific contact.
EmailsEmail threads with this company, synced from your connected Gmail account. See Email.
CalendarMeetings, calls, demos, and deadlines tied to this lead. See Calendar & Tasks.
TasksA task board scoped to this lead, with To Do, In Progress, and Done columns.

You can also rename the lead inline and update its stage directly from the profile.

Contacts

Each company profile keeps its own contact list. A contact stores:

  • Full name and email address (each email must be unique in your workspace)
  • Role or job title
  • WhatsApp number and Telegram handle
  • A preferred communication channel (email, WhatsApp, or Telegram) — used when Veflow notifies the contact about events they are tagged in

Click a contact to open their drawer and edit any of these details.

Notes

Use notes for anything that doesn't belong on the canvas: call summaries, objections, next steps. Notes support rich-text formatting, show their creation date, and can be tied to a contact. Hover over a note card to delete it; click it to edit.

Tasks and events at a glance

  • Tasks have a status (To Do, In Progress, Done), a priority (High, Medium, Low), an assignee, and an optional deadline.
  • Giving a task a deadline automatically creates a matching Deadline event on the calendar, which also syncs to Google Calendar.
  • Events come in five types — meeting, deadline, call, demo, and follow-up — and can tag contacts, who are then notified through their preferred channel.

Every create, update, and delete in the CRM is recorded in your workspace activity log, and deleted records are soft-deleted rather than destroyed.
